    Although this position requires only 20 to 24 hours per week, it can be combined with other positions with other (and sometimes similar) responsibilities to accommodate someone who prefers closer to a full time 40 hour week during the summer.

     

    The accounting assistant position is part-time [20-24 hours per week during season] and seasonal, beginning in April and going through the end of September, at the least; with the possibility of a few weeks in October or November. The schedule is flexible from April until season begins and then again during post-season. During season, there will be a set schedule.  The primary rationale for this position is to support the Bookstore Assistant Manager/Accounts Payable Manager to manage the financial paperwork flow that stems from preparing for the Chautauqua summer season business.

     

    A probationary period will be observed.

    Responsibilities

    • · Invoice preparation for vouchering
    • · Data Entry using MS Excel and MS Word
    • · Creation of Excel or Word files
    • · Filing
    • · POS [Point of Sale] clerk when called upon or when own work is complete
    • · Deliveries and pickups at the Colonnade Building, the heaviest being change for the petty cash reimbursements
    • · Delivering or picking up items to or from other locations outside of the bookstore
    • · Problem solving regarding account balances, invoices, credit memos, including correspondence [phone, fax] with vendors
    • · Correspondence with vendors regarding Co-op funding
    • · Advertising research for Co-op Funding
    • · Maintenance of data and gathering of proof of events for Co-op Funding
    • · Assisting other supervisors when available, if required

    Qualifications

    The following skills and attributes are necessary for completing the required tasks:

     

    • · Comfort and skill with computers in general
    • · Intermediate experience in Microsoft Excel and Word
    • · An understanding of basic bookkeeping practices
    • · Deductive Reasoning and a sense of logical order
    • · An attention to detail
    • · Initiative and the ability to work alone
    • · Ability to accurately organize alpha/numerically
    • · Good energy
